Privacy Policy

Company: Career Companion Co., an Illinois corporation (“Company,” “we,” “us,” or “our”).

1. Introduction

This Privacy Policy explains how Career Companion Co. (“we” or “us”) collects, uses, shares, and protects personal information when you use the Career Companion platform and its features (including the features referred to as Fast Apply, TruCognition, TruRead, Blueprint, and Next Best Move) (collectively, the “Service”). By using the Service you acknowledge the practices described here. This Policy is separate from, and incorporated by reference into, our Terms of Service.

2. Who we are and how to contact us

The data controller is Career Companion Co., Chicago, Illinois. For privacy questions or to exercise your rights, contact privacy@careercompanion.com.

3. Information we collect

3.1 Information you provide

Account information: name, email address, password, and plan selection.

Career documents and content: resumes, cover letters, job descriptions, and other documents or text you upload or paste.

Compensation information: salary or compensation figures you choose to enter to enable compensation features.

Optional demographic information: if provided, self-identified demographic information. This is sensitive information; it is never printed into your generated documents.

Communications: messages you send to support and feedback you provide.

Any other information you may provide as part of your interactions with us.

3.2 Information we derive

Career data derived from your documents, including, among others, extracted accomplishment statements, inferred domains and occupational classifications, and a structured career history.

Scores, analyses, and recommendations generated by the Service (for example, Blueprint scores, TruRead findings, and Next Best Move projections).

3.3 Information collected automatically

Usage and device information: log data, device and browser type, and interactions with the Service, collected via cookies and similar technologies. See Section 7.

Payment information is collected and processed by our payment processor, Stripe, Inc.; we do not receive or store full card numbers.

4. How we use information

To provide, operate, and personalize the Service, including extracting career data, generating documents, and computing insights.

To process subscriptions and payments and to administer your account.

To secure the Service, prevent fraud and abuse, and enforce our Terms.

To communicate with you about the Service and respond to requests.

To improve the Service, including in aggregated or de-identified form.

5. Artificial intelligence processing

The Service uses automated and artificial-intelligence systems to read your documents, extract career data, and generate content and analyses. AI-generated content is provided to assist you and may contain errors; you are responsible for reviewing it before use. We use third-party AI model providers as service providers (processors) to perform this processing, under contractual confidentiality and security obligations. Our providers process your content in order to return a result to you and handle it under their own published terms, which we review before engaging them.

We do not sell your content. We do not contribute your content to the training data of any general-purpose or foundation artificial-intelligence model, and we do not train any model on content that identifies you.

Separately, and only if you opt in, we use de-identified and aggregated information derived from your career history — for example, the shape of a move from one occupation to another, and features derived from your accomplishments rather than the accomplishments themselves — to improve the recommendations the Service makes. That information is not linked to you, is used only where a minimum cohort size is met, and you can turn it off at any time as described in Section 8.

6. Your Access to and Control Over Information

You may opt out of any future contacts from us at any time. You can do the following at any time by contacting us via the email address or phone number given on our website:

• See what data we have about you, if any.

• Change/correct any data we have about you.

• Have us delete any data we have about you.

• Express any concern you have about our use of your data.

7. Cookies and similar technologies

We use a small number of cookies, all of which are necessary for the Service to work. We do not use cookies for advertising, and we do not use cookies or similar technologies to track you across other websites.

Session cookie — an encrypted cookie that keeps you signed in. Set by us. Expires when your session ends.

cc_uid — identifies which account is signed in so the application loads your workspace. Set by us. Expires after 24 hours.

cc_role — records which type of account you hold so you are shown the correct part of the Service. Set by us. Expires after 24 hours.

Payment cookies — if you subscribe, our payment processor (Stripe) sets cookies on its own checkout pages to process the payment and prevent fraud. Those cookies are governed by Stripe’s privacy policy.

Because these cookies are necessary to deliver the Service, disabling them in your browser will prevent you from signing in. We do not currently use analytics, advertising, or social-media cookies. If we introduce any, we will update this Policy and, where required by law, obtain your consent before they are used.

7.1 Links to other websites

The Service may contain links to websites we do not operate. We are not responsible for the privacy practices or content of those sites, and this Policy does not apply to them. We encourage you to read the privacy policy of any site you visit from a link on the Service.

8. Optional, consent-based features

Certain features rely on your explicit, opt-in consent. They are off by default, nothing is pre-selected, declining them does not limit any other part of the Service, and you can turn them off at any time from your account settings:

Demographic self-identification for TruRead (Section 3.1).

Transition sharing for the affinity engine: if you opt in, we contribute an anonymized record of a career transition (generalized origin and destination characteristics, with identifiers and exact compensation removed) to improve recommendations for users with profiles like yours. Records are aggregated only where at least a minimum cohort size is met, and turning the setting off stops future sharing and deletes the records you previously contributed.

Research participation, as described in the in-product Research Participation settings.

Product improvement: if you opt in, we use de-identified information about how content was generated, how applications turned out, and how coaching was used to improve the Service. Turning the setting off stops future contributions.

Unless you ask us not to, we may contact you in the future to tell you about new services or changes to this privacy policy.

9. How we share information

We do not sell your personal information, and we do not use it to serve third-party advertising. We share information only as follows:

Service providers (processors) who host the Service, provide AI processing, process payments, and send communications, under contractual confidentiality and security obligations.

Aggregated or de-identified information that does not identify you, including the cohort statistics used by the affinity engine.

Business clients: if you participate in an employer- or sponsor-based program (for example, the Equity Pilot), information is handled under the agreement governing that program.

Legal and safety: to comply with law, enforce our Terms, or protect rights, safety, and security.

Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Policy.

10. Data retention and deletion

Where your information is held. Some of your information is held on our servers: your account record, your billing record with our payment processor, communications we have sent you, and our security and audit logs. Other information — including the résumés, cover letters and other documents you upload or generate, the career data we derive from them, your saved settings and your consent choices — is stored locally in the web browser on the device you use, and is not kept on our servers, although it passes through them when you ask us to process or generate something.

Information on our servers. We retain this for as long as your account is active and for as long as we need it to provide the Service. When you close your account we suspend it immediately, end your active sessions, and schedule permanent deletion of your account data thirty (30) days later; we confirm that date to you by email when you close the account. You may also ask us at any time to delete the information we hold about you, and we will do so except where we are required to retain it in order to comply with law, resolve disputes, or enforce our agreements. We keep security and audit logs after deletion with your identifying information removed from them.

Information stored locally in your browser. We cannot reach, control, or delete information that is stored in your own browser, and closing your account does not remove it from your device. On request we will provide instructions for deleting it yourself. You are solely responsible for the deletion of information held locally on your devices, and we make no representation or warranty as to our ability to remove it. Deleting it in one browser does not delete it in another, so if you have used the Service in more than one browser or on more than one device you will need to repeat those steps in each.

11. Your rights and choices

Depending on your jurisdiction, you may have rights to access, correct, delete, or port your personal information, and to opt out of certain processing. To exercise these rights, contact privacy@careercompanion.com or use in-product controls. We will not discriminate against you for exercising your rights.

11.1 U.S. state privacy rights

Residents of California (CCPA/CPRA) and other states with comprehensive privacy laws (including, but not limited to, Virginia, Colorado, Connecticut, and Texas) have specific rights, including the right to know, delete, and correct, and to opt out of sale or sharing and targeted advertising. We do not sell or share personal information for cross-context behavioral advertising.

12. Security

We use administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

13. Where we process information

The Service is offered to residents of the United States, and we process and store information in the United States. The Service is not directed to, or offered to, individuals in the European Economic Area or the United Kingdom.

14. Children

The Service is intended for users who are at least 18 years old. We do not knowingly collect personal information from minors. If we learn we have collected such information, we will delete it.

15. Changes to this Policy

We may update this Policy from time to time. We will post the updated Policy with a new effective date and, where required, provide additional notice.
